What is a Contract Access Template?

A Contract Access Template is associated with a set of Circles that are mapped to Sub-Categories of the Contract and Users. The Administrator defines the access configuration settings in the Contract Access Template. The users who are mapped to the particular Sub-Categories can edit or view the Contracts based on the type of access provided in the Template.

For example, if edit access is enabled to a user, John, for Sub-Category A and view access is enabled for Sub-Category B, John can view and edit the Contracts linked to Sub-Category A, however, can only view the Contracts that are mapped to Sub-Category B.

To create a Contract Access Template:

  1. Select Asset > ConfigurationOthers > Contract Access Template.
  2. On CONTRACT ACCESS CONTROL page, select the Tenant and type in the Contact Access details, and click SUBMIT. For more information about the fields on the CONTRACT ACCESS Template page, see Field Description.

Template Name

Specify the Template Name.

Restrict Edit Access To Sub-Category

Specify the Sub-Category for edit access. You can select multiple Sub-Categories. The mapped users can edit the Contracts linked to the Sub-Categories.

Restrict View Access To Sub-Category

Specify the Sub-Category for view access. You can select multiple Sub-Categories. The mapped users can view the Contracts linked to the Sub-Categories.

Active

Indicates the status set for the Contract Access.

  • If selected, the Contract Access Template is active and becomes available to the assigned Users.
  • If cleared, Contract Access Template is inactive.

Assign To Users

Specify the users to be provided access to view or edit Contracts mapped to the selected Sub-Categories.            

Name

Displays the configured User Name.

E-mail Id

Displays the e-mail Id of the configured User.

Delete

Click the Delete icon to remove the User from the Template.

ACTIONS

This section explains the icon displayed on the ACTIONS panel of the CONTRACT ACCESS TEMPLATE page.

SHOW LIST

Click SHOW LIST to display the LIST table showing the Contact Access Templates that are configured for the selected Tenant.

Note

When the configured Contract Access Templates are displayed under the LIST table, the FiltersADD NEW, EXPORT TO EXCEL, and EXPORT ALL action items are displayed on the ACTIONS panel.

  • Click Filters to specify a filter criteria to view a particular set of Contract Access Templates.

  • Click ADD NEW to configure a new Contract Access Template.
  • Click EXPORT TO EXCEL to export the records displayed on this page to a Microsoft Excel sheet.
  • Click EXPORT ALL to export all the records to a Microsoft Excel sheet.
