You can update multiple Assets using the Asset Import Template. You can also preview the Assets allocated to a Store.

 To Update Assets:

  1. Select Asset > User > Manage Asset > Import > Import Asset.
  2. On the IMPORT ASSET page, under GENERAL tab, select the required options and upload the Asset Import Template. Select Update in the Import Type field.

  3. Click SUBMIT. A table displaying the uploaded Asset Import Template sheet is displayed. Select the sheet to import the Assets. For information about the fields under the GENERAL tab, see the Field Description

  4. A table listing mapped data from the template in the Source field and the attributes in the Destination field is displayed. Select the required options if not already selected. For information about the fields under the MAPPING tab, click NEXT.

  5. A table listing all the added Assets is displayed under PREVIEW tab. For information about fields under the PREVIEW tab, see the  Field Description

  6. Click MOVE ASSETS TO QUEUE on the ACTIONS panel. The Assets are moved to the Import Queue (Staging Environment).

    If you want to discard Assets that you do not want to update, select the appropriate check boxes in the Discard column, and then click MOVE ASSETS TO QUEUE.

  7. Click UPDATE TO INVENTORY to move the Assets that are in Queue (Staging Environment) to the Asset Inventory (Production Environment).

The following table describes the fields on the IMPORT ASSETS page:

Field

Description

GENERAL

Tenant

Select the Tenant for which you want to update the Assets.

Category

Lists all the configured Categories. The Categories are displayed based on the Asset type that you select in the Asset Type field. Select the Category from the list.

Asset Type

Select the type of Asset to update from the list as Fixed Asset or Non Fixed Asset.

Import Type

Select appropriate import type.

  • Add: To add new Asset details. For more information, see Importing Assets
  • Update: To update existing Asset details.

Source

Click the Upload icon to upload an appropriate file. After you upload a file and click SUBMIT, a Select a sheet to import the Assets table listing uploaded file is displayed. Select the sheet from which you want to import Assets.

Use Data Template

Select the check box if you want to use Data Templates to populate predefined Category-specific data while updating bulk Assets.

Select the Primary Field

Select appropriate value in the Select the Primary Field. User can use any of the below options while updating the Asset details:

  • Asset ID
  • Asset Code
  • Serial No

Note: Serial No is a mandatory field while adding Asset details.

MAPPING

This tab displays the list of fields with its mapping result. If the Destination and Source are the same, it indicates that the field is mapped. If the fields are not correctly mapped, you will see <ignore> value in the Source field. Select the appropriate value in the Source field.

PREVIEW tab

Displays the mapped values. If a field has invalid data, an error message is displayed, and the mismatch data type is highlighted in red color. Duplicate Details message is displayed if data is repeated in the excel sheet. Click the arrow to view the serial numbers of the duplicate Assets.

The following section explains all the icons on the ACTIONS panel of the IMPORT ASSET page.

MOVE ASSETS TO QUEUE

Click to update multiple Assets from Microsoft Excel Template to the Import Queue.

Users can store a bulk Asset details in the Queue, i.e., in the Staging environment and move to the Asset Inventory at the desired or scheduled time. This provides clarity of no. of Assets being updated and uploaded at any particular time. It also allows the users to view the status of the Assets.

The Asset details for the selected Previous Transaction value are displayed under the Details section.

Users can move the Asset data to Asset Inventory by clicking the MOVE TO INVENTORY button. Accordingly, the Asset details are updated in the Inventory. 

PREVIOUS IMPORT DETAILS 

You can view the previous Asset Import details of the updated Assets.

The Assets that are updated in the Asset Inventory for the selected Previous Transaction value are tabulated under the DETAILS section.

IMPORT VALUE 

You can import multiple drop-down values from a Microsoft Excel Sheet.
