Global Tenancy for Change Management Task Template

 

What’s New 

An option to add a Global Tenant to the Change Management Task Template Configuration page to allow the creation of Configurations in Global Tenant is newly added. A Global Tenant is a Tenant, which is configured and available to the Local Tenants (referred to as Tenants) as a default configuration. All the Local Tenants under the Global Tenant inherit the configurations made for the Global Tenant. The Global Tenant configurations cannot be modified from the Tenant configuration pages.

You can perform the following functions under Change Management Task Template Configuration in Global Tenant:  

  • Create Configurations in the Global Tenant.
  • View Configurations in Global & Local Tenant. 
  • Localization of Global value by delinking it in the Local tenant. 

Configure Task Template for Global Tenant 

To add Task Template in the Global Tenant, perform the following steps:  

  1. Navigate to Change > Configuration > Task Template.

    The Task Template List page is displayed.

  2. In the ACTIONS Panel, click ADD NEW. 

    The Task Template Details Page is displayed.

  3. Select the Tenant as GLOBAL TENANT > Enter the mandatory Details and click Some of the fields are explained in the following table.  


Notes:

  • If Initiate Task check box is selected under the PROPERTIES pop-up (APPROVAL section) of the CR WORKFLOW page, the statuses of the draft Tasks under the RELATIONSHIP section become new after an approval level as defined in the Workflow.
  • If Initiate Task check box is not selected, the Task functionality works as per the traditional way.
    • For NormalStandard, and Expedited Change Type, Task is initiated once the CR is approved.
    • For Emergency Change Type, when e-CAB Approval is required After Implementation, Task is initiated after Initial Authorization of the CR.
    • For Emergency Change Type, when e-CAB Approval is required Before Implementation, Task is initiated once the CR is Approved.

Field Description

The following table describes the fields on the Task Template page.

Field

Description

Tenant

Select the Tenant from the list.

Task Name

Specify the Task Name.

Task Type

Select the type (ImplementationPost ImplementationRollback) of the task from the drop-down list.

  • Implementation: Implementation is the incorporation of the Task.
  • Post Implementation: Post Implementation is the review of implemented Task.
  • Rollback: If any failures occur, Rollback task is initiated.

Note: If Implementation Task is successful, Post Implementation Task is initiated, and Rollback is cancelled. If failure occur in the Implementation Task, Rollback Task is Initiated and Post Implementation is cancelled.

Information

Specify the required information of the Task.

Description

Type in the brief description of the Task.

Active

If selected, the Task Template configuration becomes active.

CRITERIA

Owner Workgroup

Select a Workgroup from the list to indicate as an Owner Workgroup for this Template.

Change Type

Select the Change Type from the list: Standard, Normal, Emergency, and Expedited

Change Category

Click the search icon and select the Change Category of the Task.

Category

Select the Category from the Category list: Small, Medium, and Large

DETAILS

CLASSIFICATION

Urgency

Select the Urgency level from the list to indicate the Urgency level for the Task.

Impact

Select the Impact from the list to indicate the Impact of the Task.

ASSIGNMENTS

Assigned Workgroup

Select the Workgroup you want to assign the Task Template.

Assigned Analyst

Select the name of the Analyst to assign the Task Template.

Task Effort (In Days)

Specify the duration of the Task in days.

Task ID

Select the Task ID of the Child Task.

  • If only one Task Template is created, the Task Id drop-down is empty.
  • If more than one Task Template is created, the Task ID appears in the drop-down according to the Task Type and Criteria.

Dependency

Select the dependency from the list.

  • Start to Start: Until Parent Task is started the Child Task of a CR cannot be started.
  • Start to Finish: To finish a Parent Task of a CR all the Child Tasks should be started.

TASK ACTIVATION NOTIFICATION

To

Specify the recipient e-mail id to send notification mails. You can add more then one recipient e-mail ids separated by comma.  
Notes:

  • If only E-mail Id is specified, recipient gets notification mail for any update of the Task.
  • If E-mail Id and Body are specified, recipient gets notification mail for Activation and Update of the Task.

Subject

Specify the Subject of the notification e-mail. If Subject is not Specified, notification e-mail is sent with the default Subject format.

  • The default Subject format is *TASKID* Task is *STATUS*.
  • TASKID and STATUS are dynamic fields, change according to the Task.

Body

Specify the Body content of the notification e-mail. If Body content is not specified, notification e-mail is sent with the default Body format as displayed in the screenshot.


Viewing a Configured Task Template in Local Tenant

To view a configured Task Template in the Local Tenant, perform the following steps:  


  1. Navigate to Change > Configuration > Task Template

  2. Click Filters in the Actions Panel

  3. Select any Local Tenant > Click SUBMIT.

    The Configured Task Template will be represented by a Globe Icon next to It.

Note 

  • As this is a Global Tenant configuration only few fields are editable. The changes made to the editable fields on this page are saved only for the selected Tenant. If any changes are made to the editable fields at the Global Tenant level, the changes made on this page are not overwritten.
  • All the configurations in the Global Tenant are inherited to the Local tenant.

 

Delink Global Task Template Configuration 


The De-link option is provided in the Actions panel when there is a Global value configuration in details page of a Local tenant. You can Delink a Global value configuration in Local Tenant to make changes to any properties that were earlier restricted as they were a Global value configuration.  

To De-link a Global Task Template value, perform the following steps:  


  1. Navigate to Change > Configuration > Task Template. 

  2. Select any Local Tenant

    The Task Template page is displayed.

  3. Click on the Task Name of the Task Template to be Delinked.

  4. In the ACTIONS Panel, Click the De-link option.

    The Details will become configurable.

  5. Click SUBMIT and then click OK to Save the details. 

Note 
 
All the properties of the configuration will be configurable upon clicking the De-link option and you will get a prompt, “By delinking the values, Global value will be converted to Local, upon clicking on the Submit button.” 

 

After the details have been saved, click SHOW LIST to view the Delinked Configuration.  

  • The grey globe icon representing a Global Value will be replaced with a de-link icon to depict that it was a previously inherited Global Value and is now a Local Value.
  • When you hover onto the  icon you can view the tooltip as ‘Global value converted to Local value.’ 
  • A Global value once Delinked cannot be Re-linked.

  • The delinking is localized only to the Tenant where this action is performed.
