Global Tenancy for Change Management Email Notifications
What’s New
An option to add a Global Tenant to the Change Management Email Notifications page to allow the creation of Configurations in Global Tenant is newly added. A Global Tenant is a Tenant, which is configured and available to the Local Tenants (referred to as Tenants) as a default configuration. All the Local Tenants under the Global Tenant inherit the configurations made for the Global Tenant. The Global Tenant configurations cannot be modified from the Tenant configuration pages.

You can perform the following functions under Change Management Email Notifications in Global Tenant:
- Create Configurations in the Global Tenant.
- View Configurations in Global & Local Tenant.
- Localization of Global value by delinking it in the Local tenant.
Configure Email Notifications for Global Tenant
To add an Email Notification in the Global Tenant, perform the following steps:
- Navigate to Change > Configuration > E-mail Notification.
The E-mail Notification List page is displayed.

The Email Notification Details Page is displayed.

Workgroup
Select the Workgroup from the list. The list consists of assigned workgroups of the CR.
An e-mail notification is sent to all the configured recipients if any members of the selected workgroup log a CR.
Change Type
The approval process takes place based on selected Change type. The drop down consists of Emergency, Expedited, Normal, Standard, Custom Change type and ALL.
Select the change type for which the additional email notifications must be sent.
Active
Indicates the status set for the Email configuration.
- If selected, the email notification configuration becomes active.
- If not selected, the email notification configuration becomes inactive.
Status
Select a required status. If this status meets with the status of the logged change request, an e-mail notification is sent to the specified recipients.
Other Email ID
Specify the email ids of the other unregistered personnel. These recipient IDs can be from the organization like summit registered or outside the organization like out of summit, to whom the problem request update email notification should be sent as a priority.
Category
All the categories configured in Change Module for the selected Tenant will be present with a multi select checkbox in each row.
User
Select the check box to send the e-mail notification about the change update to specific User. If the selected user logs a change request, then the selected User along with the recipients specified under Other E-mail ID field gets notified through e-mail.
View a Globally Configured Email Notification Template
To view a configured Global Email Notification Template floated to the Local Tenant, perform the following steps:
- Navigate to Change > Configuration > E-mail Notification.
Select any Local Tenant .
The E-mail Notification List page is displayed.
The Configured Email notification will be represented by a Globe Icon next to It.

- As this is a Global Tenant configuration only few fields are editable. The changes made to the editable fields on this page are saved only for the selected Tenant. If any changes are made to the editable fields at the Global Tenant level, the changes made on this page are not overwritten.
- All the configurations in the Global tenant are floated to the Local tenant.
Delink Global E-mail Notification value.
The Delink option is provided in the Actions panel when there is a Global value configuration in details page of a Local tenant. You can Delink a Global value configuration in Local Tenant to make changes to any properties that were earlier restricted as they were a Global value configuration.
To Delink a Global E-mail Notification value, perform the following steps:
- Navigate to Change > Configuration > E-mail Notification.
- Select any Local Tenant .
The E-mail Notification List page is displayed. - Click on the Workgroup of the Notification Template to be Delinked.

The Details will become configurable.

All the properties of the configuration will be configurable upon clicking the De-link option and you will get a prompt, “By delinking the values, Global value will be converted to Local, upon clicking on the Submit button.”- Click SUBMIT and then click OK to Save the details.
After the details have been saved, click SHOW LIST to view the Delinked Configuration.
- The Delinked Configuration will be replaced by a De-link Icon
to signify that the configuration has been converted to Local value.
- When you hover onto the icon you can view the tooltip as ‘Global value converted to Local value.’
- A Global value once Delinked cannot be Re-linked.
- The Delinked Configuration will be replaced by a De-link Icon
