You can configure values for various components of the Asset Management module. Based on the configuration, the values or fields are displayed on the pages, reports, and so on. You have to log out from the application and log in again to view the updated configurations.

To Configure Asset Management Module:

  1. Select Admin > Basic > Infrastructure > Tenant.

  2. On the TENANT page under the LIST section, select the Tenant Name for which you want to configure the Asset Management module. The following page is displayed.

    On the above TENANT page, Tenant Code, Display Name, and Description about the selected Tenant is displayed. If the Active check box is selected, it indicates that the Tenant is an active Tenant. It also displays the list of various modules (configured, not configured, and disabled) for the Tenant by the different colored check marks: Orange indicates not configured module, Green indicates configured module, and Grey indicates disabled module.

  3. On the ACTIONS panel, click CONFIGURE DETAILS. The following page is displayed. Select ASSET MANAGEMENT under MODULES section. The details about the Asset Management module are displayed under DETAILS section. For more information about the fields in the DETAILS section, see Field Description.

  4. Type in the required details and select the appropriate options in the fields. Click SUBMIT.

The following table describes the fields under the THEME SETTINGS section on the TENANT page.

Theme

Select the theme that you want to apply for the Tenant. Only the themes configured on the THEME CONFIGURATION page are displayed in the Theme drop-down list.

Allow Users to Select Theme

If selected, the users can select the Theme on the MY PROFILE pop-up page that they want to apply for the Tenant. For more information about selecting a Theme on the MY PROFILE pop-up page, see Viewing/Updating Your Profile Details in SummitAI Platform.


The following table describes the fields under the DETAILS section on the TENANT page.

Description

Unique Validation

You can select By Category, By Tenant, or All Tenants in the Unique Validation field. Based on the selection in this field, the unique attributes are validated while adding Assets.

Customer Label

Type in the label name for the Customer. The name specified here is displayed for the Customer Name fields in the SUMMIT application.

Store Label

Type in the label name for the Store. The name specified here is displayed for the Store name fields in the SUMMIT application.

Store Movement Label

Type in the label name for the Store Movement. The name specified here is displayed for the Store Movement fields in the SUMMIT application.

Asset Deactivate Label

Type in the label name for the Asset Deactivate. The name specified here is displayed for Asset Deactivate fields in the SUMMIT application.

Software Variance Alert Type

Lists the Software Variance Alert Types. Based on the selected Alert Type, the Alerts are sent to the configured users. You can configure three types of Alerts:

  • New Installations: The user gets an Alert when a new software is installed on the Asset.
  • Software Updates: The user gets an Alert when a new update is available for the software installed on the Asset.
  • Both: The user gets an Alert when a new software is installed or a new update is available for the software installed on the Asset.

Enable E-mail Alerts for End Users

If selected, the Asset life cycle e-mail alerts are sent to the End Users.

Enable attribute level store threshold configuration

If selected, the Store Threshold configuration is enabled at the attribute level. For more information about store threshold configuration, see Configuring Store Threshold.

Enable Icon that Enables/Disables the Devices

If selected, the Icon that enables/disables the Devices is displayed under Device Manager tab of ASSET DETAILS pop-up page.

Set Present Date as Asset Allocation Date

If this check box is selected, the present date becomes the Asset Allocation Date during the asset allocation.

Enable Asset Search by Dynamic Attributes from All Categories

If selected, the dynamic attributes from all the categories are displayed in the drop-down list on the SEARCH ASSET page. For more information about search asset pop-up page see, Searching Fixed Assets.

Display Previous  StoreIf selected, the Previous Store column is displayed on the FIXED ASSET, SEARCH ASSET, and ASSET TRANSACTION DETAILS REPORT pages. While moving the Asset(s) from one store to another store, the source store information of the asset(s) is displayed in the Previous Store column.
Display Only Current Financial Year Assets For Deletion

If selected, only the Assets of the Current Financial Year are displayed to the Analysts while deleting the Assets.

Display Location Code and Location Group

If selected, the Location Code and Location Group fields are displayed on the LOCATION DETAILS pop-up page. The Location Code is also displayed on the following pages:

  • FIXED ASSET
  • SEARCH ASSET
  • ASSET TRANSACTION DETAILS REPORT

Note:

  • The Location Code is a unique 4 digit code used to define a specific Location.
  • Two or more Locations cannot have same Location Codes.
  • You cannot use alphabets and characters while setting Location Codes. You can only use numbers to set Location Codes.
  • The Location Code of any one of the stores within a respective Location can be same as the Location Code of the respective parent Location.
  • Two or more Stores within a respective Location cannot have same Location Codes.
Additional Acceptance Recipient E-mail IDs

Specify the additional recipient's e-mail ids to receive the Asset Acceptance e-mail notification whenever an Asset for the configured Tenant is accepted by the End User.

Note: If not specified, only End User and Store-level configured users receive the Asset Acceptance e-mail notification.

DEPRECIATION

Depreciation Type by Company Act

Lists the Depreciation Type by Company Act. Based on the selected Depreciation Type the Asset Depreciation is calculated.

Depreciation Type by Income Tax Act

Lists the Depreciation Type by Income Tax Act. Based on the selected Depreciation Type the Asset Depreciation is calculated.

Display PMD Transactions Report Drop-down Values

If selected, the drop-down values PMD IIIA, IIIB, IVA, IVB, V, VI, MOC, and NON-MOC are displayed in the Report Type drop-down list of the FILTERS pop-up page of the PMD Transaction reports. For more information about PMD Transaction reports, see PMD Transactions.

Enable Depreciation Reserve Calculation up to the Sale Date

If selected, the depreciation reserve is calculated up to the date of sale only.

INACTIVE

Enable Approval for Asset Deactivation

If selected, the approval process is enabled for inactive Assets. For more information about approving inactive Assets, see Approving Inactive Assets.

MAKER-CHECKER

Enable Maker-Checker

If selected, the Checker can approve requests (only for the requests configured under the Actions for Checker to Approve field) from the Maker.

Actions for Maker-Checker to Approve

Select the actions from the drop-down list. If the Maker performs any actions configured here, it is sent to the Checker for validation.

Enable CBS Validation in Asset Approval Process

If this check box is selected, the Assets are approved by the Checker through the CBS validation.

Start Time and End Time

Specify the start and end time for Maker to send request (only for the requests configured under the Actions for Checker to Approve field) to the Checker for validation.

PHYSICAL VERIFICATION

Status

Select the status from the drop-down list. The Remarks field on the ASSET PHYSICAL VERIFICATION REQUEST page becomes mandatory for the selected status.

MY ASSET

Asset Type

Selected Asset Types becomes available on the MY ASSET LIST page as a filter criteria.

SOFTWARE VARIANCE

Uninstalled Variance

Lists all the Baselined and Non-baselined software variances on the SOFTWARE VARIANCE page. Based on the selection made in this field, you can view and configure three types of Uninstalled Variances:

  • All: If selected, you can view all the software that were uninstalled.
  • Baselined Software: If selected, you can view all the Baselined software that were uninstalled.
  • Non-baselined Software: If selected, you can view all the Non-baselined software that were uninstalled

Max. No. of Records

Specify the maximum value that can be displayed under the LIST section of the SOFTWARE VARIANCE page. The entered value should be from 100 to 5000.

Note: If not specified, application displays the first 500 records.

REMOTE DESKTOP

Enable Remote Desktop Button on Asset Details Pop-up Page

If selected, the Remote Desktop button is enabled at upper-right corner of the ASSET DETAILS pop-up page.

Enable Remote Desktop Stealth Mode

If selected, stealth mode option becomes available on the REMOTE DESKTOP SHARING pop-up page.

Enable Remote Desktop URL Mode

If selected, Analyst can generate a URL for Remote Desktop Sharing. This URL becomes available on the REMOTE DESKTOP SHARING pop-up page.

ACTIONS

This section explains all the icons displayed on the ACTIONS panel of the TENANT page.

SHOW LIST

Click SHOW LIST to display the LIST table showing all the configured Instances.

  • To update a Tenant details, click the configured Tenant Name. Make appropriate changes and click SUBMIT.
  • To display the inactive Instances, click the Include Inactive check box.

    When the Tenant list is displayed under the LIST table, the ADD NEW and TENANT LABEL DISPLAY actions are displayed on the ACTIONS panel.

    • Click ADD NEW to configure a new Tenant.
    • Click TENANT LABEL DISPLAY to configure a name for the Tenant label.

    The TENANT LABEL DISPLAY pop-up page is displayed. Type in the label name in the Tenant Label Display field and click SUBMIT.

SHOW TENANT

Click SHOW TENANT to display the details of the selected Tenant. The TENANT page is displayed.
