Resource

The many assets, materials, tools, equipment, staff, and finance that are required to effectively complete a project are referred to as project resources. These resources are allotted and used to complete the project's deliverables and objectives.

To enable seamless project execution, achieve project goals, and produce positive results, these project resources must be managed and optimized effectively. To increase a project's productivity and efficiency, critical actions include resource allocation, utilization, tracking, and optimization.

Managing Project Resources 

The Manage Project Resources feature enables you to manage resources across projects. Using this feature you can assign resources to projects, tasks, and activities. Throughout the course of the project, it's critical to plan, allocate, monitor, and regulate resources in order to manage project resources efficiently. Resource leveling, resource allocation matrices, and resource tracking systems are examples of resource management approaches that can help maximize resource utilization and guarantee project success.

Resource Utilization

The efficient and effective use of resources to complete project tasks and goals is referred to as resource utilization. It entails making the most of the available resources in order to increase production, reduce waste, and guarantee the success of the project.

Project managers can increase productivity, save costs, fulfil deadlines, and improve overall project outcomes by efficiently controlling and optimizing resource utilization. Through the course of a project, regular examination and modification of resource allocation methodologies results in better resource utilization.

Configure Resource Utilization

  1. Navigate to Project > User > Resources > Resource Utilization.
  2. The following Window is displayed.

        3. Under the ACTIONS tab, click RESOURCE UTILIZATION.

        4. Under the Resource field search for the required resource by specifying the dates.

        5. The subsequent window displays the Resource Utilization Details page where their SKILLS, ALLOCATION, and UTILIZATION are shown as below.

Resource Availability

The presence and accessibility of the essential resources required to carry out a project are referred to as resource availability. It entails evaluating the availability of various resources, such as people, tools, materials, and money, to make sure they are available when needed.

Project managers may plan effectively, arrive at wise judgements, and reduce any risks associated with resources by evaluating and assuring resource availability. This ensures that activities are carried out effectively and that project objectives are met by maintaining a consistent flow of resources throughout the project.

Configure Resource Availability

  1. Navigate to Project > User > Resources > Resource Availability.
  2. The following Window is displayed.

           3. The Employee Name along with the hours utilized are given.

Resource Request

A formal or informal procedure of requesting more resources for a task or project is known as a resource request. Typically, it entails determining the precise resources required, defending their necessity, and requesting authorization or allocation of those resources.

It's crucial to keep in mind that the resource request procedure can change based on the company, the project, or the work at hand. For submitting resource requests, some organizations may have particular templates or mechanisms in place. When requesting resources, it's crucial to adhere to the existing policies and procedures inside your company.

Configure Resource Request

  1. Navigate to Project > User > Resources > Resource Request.
  2. The following Window is displayed.

Project

Choose the Project for which Resource is being configured.

Status

Select the status from the drop-down menu.

No. of Resources

Enter the no of resources required.

No. of Hours

Specify the no of hours from the drop-down menu.

From Date

Specify the date.

To Date

Specify the date.

Remarks

Enter any additional remarks.

 

      3. On the ACTIONS tab, Navigate to SEARCH to find resources based on specific skill sets as given below. For more information refer the table below.

Field

Description

No of Hours per Day

Choose the No of Hours per day from the drop-down menu.

From Date

Specify the from Date.

To Date

Enter the To Date.

Select Skill

Select the specific Skill sets required. It will be displayed in the Skills field.

Min Experience

Enter the minimum experience requirement.

Max Experience

Choose the maximum experience requirement.

Skill Levels

Specify the skill level from Beginner to Expert in the drop-down menu.

Resource Request List

A detailed inventory of the precise resources required for a task or project is known as a resource request list. It acts as a central repository for all resource requirements and enables accurate identification, request, and allocation of all required resources.

Project managers and teams can make sure that all resource requirements are recorded, managed, and dealt with methodically by maintaining a resource request list. It supports efficient resource management, enhances communication, and aids in the process of making resource allocation decisions that are well-informed.

Configure Resource Request List

  1. Navigate to Project > User > Resources > Resource Request List.
  2. The following Window is displayed.

  3. Under the ACTIONS tab, click ADD NEW.

Search Resource by Skills

The process of looking for and locating individuals or entities who have particular talents necessary for a project or task is known as searching for resources by expertise. It entails conducting focused searches utilizing a range of tools and platforms to locate qualified applicants or sources who possess the required skills. Finding and establishing connections with people or organizations that can provide their skills to the project is the aim. Before concluding any agreements or contracts, carefully evaluate their capabilities and suitability with your project's requirements.

  1. Navigate to Project > User > Resources > Search Resource by Skill.
  2. The following Window is displayed.
