Adding Vendor

Configure a new Vendor for a new Tenant for an organization.

To add a new Vendor:

  1. Select Procurement > Configuration > Vendor.
  2. On the VENDOR page, click ADD VENDOR on the ACTIONS panel.
  3. On the VENDOR page, fill in the details, and then click SUBMIT. For more information about the fields on the VENDOR page, see Field Description.

  4. The Vendor is saved and sent for approval.

Field Description

The following table describes the fields available on the left pane of the VENDOR page:

Field

Description

Vendor Name

Specify the Vendor Name that you want to add.

Vendor Display Name

Specify the Display Name of the Vendor that you want to add.

Tenant

Specify the Tenant for which you want to add the Vendor.

Evaluation Period (In Months)

Select the Vendor evaluation period (in months). The Vendor is evaluated after the selected number of months and in a interval of the selected months thereafter.

Status

Displays the Status of the Vendor.

Attachment

Upload an attachment related to the Vendor, if any.

 ADDRESS DETAILS

Fill in the required details under the ADDRESS DETAILS tab, and then click ADD. The details that you added are displayed in the LIST table.

The following table describes the fields under the ADDRESS DETAILS tab:

ADDRESS DETAILS

Vendor Address

Specify the Address of the Vendor that you want to add.

Address Type

Select the Address type of the Vendor from the drop-down list.

Contact Person

Specify the name of the Contact Person in the Vendor's organization.

Preferred Vendor

If selected, the Vendor becomes the preferred vendor for the Procurement process.

Type of Organization

Specify the type of the Organization.

Designation

Specify the designation of the Contact Person.

Location

Specify the current Location of the Vendor.

Country

Select the Country where the Vendor is currently located.

State

Select the State where the Vendor is currently located.

City

Select the City where the Vendor is currently located.

Pincode

Specify the ZIP code/Pincode where the Vendor is currently located.

Website

Specify the Website of the Vendor.

E-mail ID

Specify the E-mail ID of the Vendor/Contact Person of the Vendor.

Phone Number

Specify the Phone Number of the Vendor/Contact Person of the Vendor.

Mobile Number

Specify the Mobile Number of the Vendor/Contact Person of the Vendor.

Fax

Specify the Fax number of the Vendor/Contact Person of the Vendor.

Classification

Select the classification of the Vendor's organization.

LIST

Displays the details that you added under the ADDRESS DETAILS tab.

Edit

Click the Edit icon to edit the record displayed in a row.

Delete

Click the Delete icon to delete the record displayed in a row.

 REGISTRATION DETAILS

Fill in the required details under the REGISTRATION DETAILS tab, and then click ADD. The details that you added are displayed in the LIST table.

The following table describes the fields under the REGISTRATION DETAILS tab:

TIN No.

Specify the TIN (Tax Identification Number) of the Vendor.

TIN Registration Date

Select the TIN registration Date of the Vendor.

TAN No.

Specify the TAN of the Vendor.

TAN Registration Date

Select the TAN registration Date of the Vendor.

CST No.

Specify the CST No. of the Vendor.

CST Registration Date

Select the CST registration Date of the Vendor.

PAN No.

Specify the PAN of the Vendor.

PAN Registration Date

Select the PAN registration Date of the Vendor.

Service Tax No.

Specify the Service Tax No. of the Vendor.

SME Registration No.

Specify the SME Registration No. of the Vendor.

LIST

Displays the details that you added under the REGISTRATION DETAILS tab.

Edit

Click the Edit icon to edit the record displayed in a row.

Delete

Click the Delete icon to delete the record displayed in a row.

 BANK DETAILS

Fill in the required details under the BANK DETAILS tab, and then click ADD. The details that you added are displayed in the LIST table.

The following table describes the fields under the BANKDETAILS tab:

BANK DETAILS

Account No.

Specify the Account No. of the Vendor.

Bank Name

Specify the Name of the Bank where the Vendor's Account is available.

IFSC Code

Specify the IFSC Code of the Bank where the Vendor's Account is available.

SWIFT/RTGS/NEFT No.

Specify the SWIFT/RTGS/NEFT No.

Account Type

Select the account Type from the drop-down list.

Bank Address

Specify the address of the Bank where the Vendor's Account is available.

City

Select the City where the Bank is located.

Phone Number

Specify the contact number of the Bank where the Vendor's Account is available.

LIST

Displays the details that you added under the BANK DETAILS tab.

Edit

Click the Edit icon to edit the record displayed in a row.

Delete

Click the Delete icon to delete the record displayed in a row.

ACTIONS

This section explains all the icons displayed on the ACTIONS panel of the VENDOR page.

SHOW LIST

Click SHOW LIST to display the LIST table showing all the configured Vendors.
