Configuring Asset Alerts

You can add and modify different types of Alerts for Assets. You can configure Asset Alerts for allocated Assets, Hardware Variance, and Software Variance. You can also configure Custom Alerts. These Alerts are notified through e-mails to the assigned Analysts.

To Configure Alerts:

  1. Select Asset > Configuration > Others > Asset Alert Configuration.
  2. On the ASSET ALERT CONFIGURATION page, click ADD NEW on the ACTIONS panel.
  3. On the ALERT CONFIGURATION page, select the Tenant and type in the new Alert details. For more information about the fields on the ALERT CONFIGURATION page, see Field Description.
  4. Click SUBMIT. The new Alert is configured.

Field Description

The following table describes the fields on the ASSET ALERT CONFIGURATION page:

DETAILS

Alert Type

Select the Alert Type.

  • Custom Type: Refers to a Custom Alert, such as expiry dates, and so on.
  • Returnable Allocated Asset: Refers to the Alerts for Assets that are allocated for a temporary purpose. This Alert is sent when the specified return date is expired.
  • Software Variance: Refers to the Alerts that are sent after performing a periodic check of all the software Assets for finding the variance.
  • Hardware Variance: Refers to the Alerts that are sent after performing a periodic check of all the hardware Assets for finding the variance.
  • Asset Not Contacted/Discovered: Refers to the Alerts that are sent when an agent installed Asset/agentless Asset is not contacted after performing a discovery for a specific period.
  • Software Licence Utilization: Refers to the Alerts that are sent after performing a periodic check of the over utilization of configured software.
  • Returnable Allocation Asset - End User: Refers to the Alerts reminders that are sent to the users in advance on the return date of the allocated Assets.
  • Blacklist Software Asset: Refers to the Alerts that are sent after performing a periodic check for the usage of the configured blacklisted software.
  • Movement Returnable Asset: Refers to the Alerts that are sent to remind the User about the date at which the Assets have to be returned to the respective store/floor.
  • Temporary Allocated Non-fixed Asset – End User: Refers to the Alerts that are sent to remind the User about the non-fixed assets allocated for temporary usage.
  • Blocked Application: Refers to the Alert that are sent if a blocked application is opened by the User.
  • Software License Utilization Threshold: Refers to the Alerts that are sent when the installation percentage of the software exceeds the configured threshold value.

    The installation% e-mail notification is sent to the configured users with the list of License details in a tabular format. The table has the following details:

    Fields

    Description

    License Name

    Displays the name of the license that is being utilized (over-utilized and underutilized).

    Procured Count

    Displays the count of licenses that are procured.

    Valid Count

    Displays the count of valid licenses from the list of procured licenses.

    Installation count

    Displays the count of installations for a license.

    Remaining License

    Displays the count of licenses that are available for installation.

    % of Usage

    Displays the license usage in percentage. This % is calculated based on the following formula: 

    % of usage= Installed count/Valid count X 100

    Remarks

    The Application generates a remark, “No valid licenses are available; however, licenses are being utilized.” in the Remarks field when the valid count is zero, i.e., no license for the software is purchased or available but the license is being utilized in the form of trial, free, or temporary installations. This remark is auto-populated because in this case, the % of usage cannot be defined.

    An e-mail is sent to the specified e-mail ids. Based on the selected Alert Type, you may see different fields on the application.

Asset Type

Lists the various types of Assets.

  • Fixed Asset: Indicates the type of Assets that can be allocated to an employee and returned to the store. For example, Laptop, Desktop.
  • Consumable Asset: Indicates the type of Assets that are used by the employee and are not returned to the store. For example, Water bottles, Notepads, Pens, DVDs.
  • Accessories: Indicates the type of Assets that can be allocated to the fixed Assets. For example, RAM, Mouse, Laptop bag.
  • Software: Indicates the number of used and available software licenses in the store.

Select the Asset type from the list.

Alert Name

Type in the name for the new Alert.

Number of Days in Advance

Type in the number of days in advance the Alert should be sent.

Alert when installation Exceeds (%)

This field is displayed when the Alert Type is selected as Software License Utilization Threshold. Type in the license usage threshold percentage. If the software installations exceed this value, alerts are sent. The job, Software License Utilization Threshold, should be scheduled on the CUSTOM SCHEDULER page (see: Custom Scheduler).

Store

Lists the configured Stores. Click on the Search icon. The LOCATION pop-up page is displayed. You can use the Expand icon to view the stores and floors in the location tree. Select a Store from the list.

For the Software License Utilization Threshold Alert Type, 

      • If the Store is selected, the notifications are triggered based on specific license count and installation count for that Store.
      • If no Store is selected, the notifications are triggered based on the Tenant level software license count and asset installation count.

Notification Frequency

This field is displayed when the Alert Type is selected as Software License Utilization Threshold. Lists the following intervals at which the e-mail notifications are sent:

  • Send Notification Every Time On Exceed: If selected, the e-mail notifications are sent every time the installation % exceeds the above the configured threshold value.
    Example: Consider that the configured threshold is 50%. Every time the installation% exceeds 50%, such as 51%, 52%, 53%, and so on, e-mail notifications are sent to the configured users.

The Tick mark () indicates that a notification is sent and  the Cross mark () indicates that no notification is sent.

  • Send Notification Only Once on Exceed: If selected, the users are notified only once when the installation% exceeds the configured threshold value. If the installation percentage falls down from the threshold% and exceeds again, notifications are sent again.
    Example: Consider that that configured threshold is 50%. After the installation% reaches more than 50%, an e-mail notification is sent. On further increase in installation%, no more notifications are sent.


The Tick mark () indicates that a notification is sent and a Cross mark () indicates that no notification is sent.

Exclude License

This field is displayed when the Alert Type is selected as Software License Utilization Threshold. Select the Software license. The threshold alert configuration does not apply to the excluded software licenses.

Sender Email ID

Type in the e-mail id to send the Alert.

Sender Name

Type in the name of the user/Workgroup to send the Alert.

Contract SPOC

If selected, the To E-mail ID field is hidden including option buttons, Consolidated E-mail Notification and E-mail Notification by Contract.

Note:

  • If selected, you need to configure the e-mail ids on the CONTRACT MANAGEMENT page (see: Adding Contract or Agreement Details) in the Notify Users field. The configured recipients receive the notifications related to various Contract alerts.
  • The above values will be displayed only if the Alert Type is selected as Contract Management.

To E-mail ID

Type in the e-mail addresses of the recipients to whom the Contract related notification e-mails should be sent.

Consolidated E-mail Notification 

If selected, a consolidated e-mail related to Contract is sent to the configured users. For example, if Contract A,B, and C are expiring on 5th August 2019, one consolidated e-mail is sent to the configured users (To E-mail ID field) of Contract A, B, and C.

Note: The above values will be displayed only if the Alert Type is selected as Contract Management.

E-mail Notification by Contract 

If selected, individual e-mails related to Contract are sent for each Contracts to the configured users (To E-mail ID field). For example, if Contract A,B, and C are expiring on 5th August 2019, 3 separate e-mails are sent to the configured users of Contract A, B, and C.

Note: The above values will be displayed only if the Alert Type is selected as Contract Management.

Mail CC

Type in the e-mail ids of the recipients who should be copied in the notification e-mails.

Active

Indicates the status set for an Alert type.

  • If selected, this Alert type is displayed in the Alert Type list.
  • If cleared, the Alert type is inactive.

Asset Alert

Lists the configured Asset Category details to map.

  • Asset Type: Displays the Asset type name.
  • Mapping Column: Lists the configured Category attributes. Select the attribute name in the Mapping column same as the specified Alert Name to map it to the Asset Type.

Note: The above values will be displayed only if the Alert Type is selected as Custom Type.

ACTIONS

This section explains all the icons displayed on the ACTIONS panel of the ASSET ALERT CONFIGURATION page.

SHOW LIST

Click SHOW LIST to display the LIST table showing all the configured Alert for the selected Tenant.

  • To edit an Alert, click the configured Alert Name. Make appropriate changes and click SUBMIT.
  • To display the inactive Alert, click the Include Inactive Records check box.

Note:

When the Alert are displayed under the LIST table, the ADD NEW action is displayed on the ACTIONS panel. Click ADD NEW to configure a new Alert.

Custom Scheduler Jobs

The Software License Utilization Threshold job should be enabled when the alert type is selected as Software License Utilization Threshold. For more information, see the Customer Scheduler Jobs.
