Configuring PIR Reviewer

 

Who is PIR Reviewer?

This configuration is used to restrict review and closure of CRs to specific set of users based on the Change Type, Category, Workgroup, Change Category. For example, a Normal Change that is Major needs to be reviewed and closed only by the CIO. You can add, modify, or remove PIR Reviewer for a combination (Tenant, Change Type, Category, Workgroup and Change Category). Only the configured PIR Reviewer/s can review and close the Change Record. If not configured for a combination (Tenant, Change Type, Category Workgroup and Change Category), the CAB, Change Manager or Analysts will be able to review and close a CR.

You can add more than one PIR Reviewers and select multiple PIR Reviewers as per your requirement. 

To configure PIR Reviewer:

  1. Click Change > Configuration > PIR Reviewer.
  2. On the PIR REVIEWER page, click ADD NEW.
  3. Select the Tenant and fill in all the details on the PIR REVIEWER page. For information about the fields on the PIR REVIEWER page, see Field Description.
  4. Click SUBMIT. A new PIR Reviewer is configured.

Field Description

The following table describes the fields on the PIR REVIEWER page:

DETAILS

Change Type

Select the Change Type for which you want to configure the PIR Reviewer.

Category

Select the Category from the drop-down list.

Workgroup

Select the workgroup from the drop-down list. Available options are based on the Workgroup configuration done at Admin level (Admin > Infrastructure > Workgroup).


Change Category

Select the change category from the drop-down list. Available options are based on the Change Category configuration done at Change module level (Change > Configuration > Change Category)

 Click Clear hyperlink to remove Change Category configuration on PIR Reviewer Details page. 

 Example

Consider you want to remove the Change Category Hardware as shown in the following screenshot:



Click Clear hyperlink to remove the above mentioned Change Category Hardware, it will get deleted as shown in the following screenshot:

PIR Reviewer

Type in the name of the person you want to configure as PIR Reviewer for the selected Tenant. You can also click Search icon to search the name of the user you want to configure as PIR Approver (see: Searching Users). The Select User screen is displayed as shown in the following screenshot:

Click OK to add the PIR Reviewer name in the list.

You can add multiple users in the PIR Reviewer list as shown in the following screenshot.

Active

If Active check box is selected, the PIR Reviewer configuration for the selected Tenant becomes active.


If the specified Change Type, Category, Workgroup, Change Category for a record exactly matches with any previous record, then the system displays the following message:

  • Go to Record - Click on Go to Record, the PIR Reviewer Details screen is displayed to edit the record details. 
  • Cancel - Click Cancel to close the message window without making any changes in the the record.

If a record has Change Type and/or Category as ALL and you attempt to add one more record with Change Type and/or Category as any other value except ALL but Workgroup, Change Category and PIR Reviewer fields has exact match with the same values then it will not throw any validation message. The following example illustrates the same:

Scenario 1 - Generic Configuration

Consider the following configuration with Change Type as ALL, Category as ALL, Workgroup as CMDB Workgroup, Change Category as Hardware and PIR Reviewer as Fredrick Norton.

Scenario 2 - Specific Configuration

Now, you attempt to add one more record for PIR reviewer configuration with Change Type as Normal, Category as Medium, Workgroup as CMDB Workgroup, Change Category as Hardware and PIR Reviewer as William James.

In this case, one more reviewer William James is also added as one more record in the PIR Reviewer list without any validation message. 

Use Case I- The CR with specific configuration precedes the record with generic configuration. The following example illustrates the same:

Scenario I - Generic Configuration

The following is the sample screenshot of generic configuration for PIR Reviewer with Change Type as ALL, Category as ALL, Workgroup as CMDB Workgroup, Change Category as Hardware and PIR Reviewer as Christian Marnell.

Scenario II - Specific Configuration

The following is the sample screenshot of specific configuration for PIR Reviewer with Change Type as Normal, Category as Medium, Workgroup as CMDB Workgroup, Change Category as Hardware and  PIR Reviewer as Fredrick Norton.

In this case, PIR Reviewer (Christian Marnell) with generic configuration (Scenario I) and the PIR Reviewer (Fredrick Norton) with the specific configuration (Scenario II) will get PIR notification.

Use Case II - The configured PIR Reviewer has Analyst access to the same Workgroup as configured in CR configuration. The following example illustrates the same:

PIR Reviewer Configuration

The following is a sample screenshot of a specific configuration for PIR Reviewer with Change Type as Normal, Category as Medium, Workgroup as CMDB Workgroup, Change Category as Hardware and PIR Reviewer as Fredrick Norton who has got Analyst access to CMDB Workgroup.

In this case, the PIR Reviewer (Fredrick Norton) who belongs to the CMDB Workgroup (Assigned Workgroup of CR) will be getting the PIR notification and will be able to perform the PIR review.

Use Case III - The configured PIR Reviewers do not have Analyst access to the same Workgroup as configured in CR configuration. The following example illustrates the same:

PIR Reviewer Configuration

The following is the sample screenshot of specific configuration for PIR Reviewer with Change Type as Normal, Category as Medium, Workgroup as HR Import, Change Category as Hardware and PIR Reviewer as Ryan and William James. The Workgroups CMDB Workgroup and HR Import belongs to the same Tenant Information Technology.

In this case, the PIR Reviewers (Ryan and William James) do not have Analyst access to the CMDB Workgroup (Workgroup configured in CR), but has got Analyst access to the HR Import. Now, as the workgroups CMDB Workgroup and HR Import belongs to the same Tenant Information Technology, the PIR Reviewers (Ryan and William James) will be getting the PIR notification and will be able to perform the PIR review.

Use Case IV - The Workgroup is not defined for PIR Reviewer configuration. The following example illustrates the same:

PIR Reviewer Configuration

The following is the sample screenshot of specific configuration for PIR Reviewer with Change Type as Normal, Category as Medium, Workgroup as Select, Change Category as Hardware and PIR Reviewer as Ryan and William James who do not have Analyst access to CMDB Workgroup, but has got Analyst access to different Workgroups which belongs to the same Tenant Information Technology.

In this case, the PIR Reviewers (Ryan and William James) having Analyst access to any Workgroup of the same Tenant (Information Technology) will be getting the PIR notification and will be able to perform the PIR review.

Use Case V - The PIR Reviewer configuration does not match exactly with CR configuration. The following example illustrates the same:

PIR Reviewer Configuration

The following is the sample screenshot of specific configuration for PIR Reviewer with Change Type as Normal, Category as Medium, Workgroup as HR Import, Change Category as Hardware and PIR Reviewer as Ryan and William James who do not have Analyst access to CMDB Workgroup, but has got Analyst access to HR Import. The Workgroups CMDB Workgroup and HR Import belongs to the same Tenant Information Technology.

In this case, the PIR Reviewer configuration does not match exactly with CR configuration as Category parameter is different for both the configurations. Hence, the PIR Reviewers, (Ryan and William James) will not be getting the PIR notification and will not be able to perform the PIR review.


ACTIONS

This section explains all the icons displayed on the ACTIONS panel of the PIR REVIEWER page.

SHOW LIST

Click SHOW LIST to display the LIST table showing all the configured PIR Reviewer for the selected Tenant.

Field Description

The following table describes the fields on the PIR REVIEWER LIST page:

LIST

IDDisplays the PIR Reviewer ID. To edit a PIR Reviewer, click the ID hyperlink. Make the appropriate changes and click SUBMIT.

Change Type

Displays the change type of the PIR Reviewer.

Category

Displays the category of the PIR Reviewer.

WorkgroupDisplays the workgroup of the PIR Reviewer.
Change CategoryDisplays the change category of the PIR Reviewer.
PIR Reviewer

Displays the names of the PIR reviewers. Click more hyperlink to view the all names if PIR reviewers are multiple. A sample screenshot is shown below:

ActiveIndicates if the PIR Reviewer is active or not.
Include Inactive

Select the Include Inactive check box to include the inactive PIR Reviewers.


Note:

When the PIR Reviewers are displayed under the LIST table, ADD NEW action is displayed on the ACTIONS panel. Click ADD NEW to configure a new PIR Reviewer.
