Printing Gate Pass

Assets may be required to be sent out from a premise for various reasons. The SummitAI application provides an option to print Gate Pass for Assets, which are being taken out from the Parent Store/Floor. Gate Pass can be printed for Assets going through Store Movement, Floor Movement, To Repair, and From Repair. To print Gate Pass, the Approval Matrix needs to be configured to approve the Asset Movement types. The Gate Pass can be printed only after the first level approval is given. The first level Approver is notified immediately after an Asset Movement is initiated. To know more about Asset Movement approval, see Approving Asset Movements.

To print Gate Pass:

  1. Select Asset > User > Manage Asset > Approvals > Print Gate Pass.

  2. On the PRINT GATE PASS page, click the Filters icon on the ACTIONS panel. Select the required filter criteria and click SUBMIT. For more information about fields on the FILTERS pop-up page, see: Filters.

  3. The list of Assets under movement based on the selected filter criteria is displayed. For more information about fields on the PRINT GATE PASS page, see Field Description.

  4. Click the PRINT icon on the ACTIONS panel to view the details of the Approvers and print the Gate Pass for all the Assets under movement.

  5. Click the Movement ID to view the Approvers and Asset movement details and print the Gate Pass.

Field Description

The following table describes the fields on the PRINT GATE PASS pop-up page:


Fields

Description

DETAILS

Movement ID

Displays the Movement ID for the Asset movement. Click the Movement ID to view the Asset movement details.

Initiated By

Displays the user who initiated the movement.

Approved Date

Displays the time and date, the movement is approved.

Movement Type

Displays the type of movement.

Source

Displays the source where the movement is initiated.

Destination

Displays the destination where the Asset is moving.

This section explains all the icons displayed on the ACTIONS panel of the PRINT GATE PASS page

Filters
Click the Filters icon to specify a filter criteria to display a particular set of Assets under movement. On clicking the Filters icon, the FILTERS pop-up page is displayed. Select the required  filter criteria and click SUBMIT.

The following table describes the fields on the FILTERS pop-up page:

Fields

Description

Tenant

Lists the configured Tenants. Select Tenant from the list.

Asset Type

Lists the Asset Types. Select Asset Type from the list.

Movement Type

Lists the configured Movement Types. Select the Movement Type from the list.

Start Date

Specify the start date of the Asset movement. Click the Calender icon to select the date.

End Date

Specify the end date of the Asset movement. Click the Calender icon to the date.

Movement ID

Type in the Movement ID to search for a specific Asset movement.

PRINT

Click PRINT to print the Gate Pass.

EXPORT TO EXCEL

Click EXPORT TO EXCEL to export the records displayed on the page to a Microsoft Excel sheet.
