Improved Process for Allocating or Deallocating Licenses

Earlier, on the ALLOCATE/DEALLOCATE LICENSE page (Asset > User > Asset inventory > Software > Select a Tenant > Click the count under the Allocated column) page, if all the procured licenses were allocated, then these license were not listed in Allocate/Deallocate License details page. By default, the Application was hiding the details of licenses with zero or negative count. This was leading to a confusion.

For example, if the total procured license of Adobe Photoshop is 10, and the 10 licenses were allocated, then the record for the Adobe Photoshop license was not displayed in the list. This was occurring as the total available quantity of this license is zero and the Include Zero (0) and negative (-) Quantity Licenses check box was not selected.

To avoid this confusion, the ALLOCATE/DEALLOCATE LICENSE page is enhanced by adding the following field using which the Analyst can get the list of total procured licensed, total allocated licenses, and total available licenses that can be allocated:

• On the FILTERS pop-up of the ALLOCATE/DEALLOCATE LICENSE, a filter criteria Allocation Status is added newly. The newly added field contains the following drop-down values:
  
  
  • Allocated: If selected, then on the ALLOCATE/DEALLOCATE LICENSE page, the number of licenses that are allocated for the selected Tenant are displayed.
  • Not Allocated: If selected, then on the ALLOCATE/DEALLOCATE LICENSE page, the software licenses that are not allocated for the selected Tenant are displayed.

  • Both: If selected, then on the ALLOCATE/DEALLOCATE LICENSE page, the software licenses that are allocated and not allocated for the selected Tenant are displayed.

    Note

    The zero (0) and negative (-) quantity licenses are not shown by default. To view these licenses, the Analyst should enable the Show Only Available Licenses from the ALLOCATE/DEALLOCATE LICENSE List page.

Earlier, on the SOFTWARE DETAILS page, all the available licenses were displayed including zero quantity licenses and negative quantity licenses. This was leading to a confusion while allocating an available license. To avoid this confusion, a new field, Show Only Available Licenses, is added on the FILTERS pop-up. Upon selecting the Show Only Available Licenses check box, a list of software licenses whose available quantity greater than zero is displayed on the List page.

Additionally, a new action is introduced. ALLOCATE action is added the on the ACTION panel for the SOFTWARE INVENTORY page. This enables the Analyst to allocate the selected license from the Asset Inventory page itself.
