Bulk Allocate Fixed Assets to Customer


The enhancement is about the bulk allocation of fixed assets to the Customer and Department to achieve this, three columns have been introduced such as Allocate To, Customer, and Project. You can import the Assets from Microsoft Excel Worksheet (.xlsx) and allocate them to the users in bulk. 

To Bulk Allocate fixed assets to customers, perform the following steps: 

  1. Log in as an Analyst. 

  2. Navigate to Asset > User > Manage Asset > Import > Bulk Asset Allocation. 
    The Bulk Asset Allocation configuration screen is displayed.

  3. Select Tenant and click DOWNLOAD TEMPLATE in the ACTIONS panel. 
    An Excel file will be downloaded that contains multiple sheets.

    Note:

    New columns such as Allocate To, Customer, and Project are displayed in the Excel file. The analyst can re-write the data in the Excel sheet before importing.


  4. Select Tenant and Category in the BULK ASSET ALLOCATION page, under the General tab.

  5. Upload the source Excel file and click Submit. 
    A table listing all sheets from the uploaded Excel file is displayed.

    For information about the fields under the General tab, see Field Description.

  6. Select Asset Allocation Template sheet to import the Assets. 
    The screen will be navigated to the MAPPING tab which will display newly added columns such as Allocate to, Customer, and Project.

  7. Map the Source to the Destination by selecting the appropriate values from the dropdown list.

    For information about the fields under the Mapping tab, see Field Description.

  8. Click NEXT. 
    The screen navigated to the Preview tab to upload the assets.

    In case of any invalid data in any of the row(s), force import is enabled, select Ignore checkbox, and click UPLOAD ASSETS.


  9. A table listing all the mapped values is displayed under the Preview tab.
    This includes the newly added columns such as
    Allocate To, Customer, and Project.

  10. Click UPLOAD ASSETS.  
    The Assets are uploaded to the selected location and allocated to the respective users.

  11. Click PREVIOUS ALLOCATION DETAILS to view the allocation details. 
    Details screen is displayed.

  12. Select Previous Transactions from the dropdown list and click SUBMIT. 
    The transaction details are displayed with the updated column values.

Field Description

The following table describes the fields of the page:

Field

Description

General

Tenant*

Displays the Tenant of the selected Assets.

Category*

Displays the Category of the selected Assets.

Type*

Select the Type as Fixed Assets from the dropdown list.

Source*

Click the Upload icon to upload the Asset Bulk Allocation Template Excel sheet.

Allocation Type

Select the Asset Type for Fixed Assets.

Upon selecting Fixed Assets following options are displayed.

  • Only Store Assets: Select this option to allocate the Fixed Assets in store.
  • Reallocate Assets if already Allocated: Select this option to reallocate existing Fixed Assets.

Notify Users

If selected, the users specified in the import Excel sheet receive e-mail notifications.

Mapping

Destination

Displays the name of the destination as where the assets should be allocated.

Data Type

Mentions the Data Type of the value allocated.

Source

Select the Source from the set of values from the dropdown list that maps to the Destination when allocated.

Note:

If the Destination and Source are the same, it indicates that the field is mapped. 

PREVIEW

This tab displays the list of fields with their mapping result. The newly Fields such as Allocate To, Customer, and Project is displayed in this table.
