Configure Workplan

 

What is Workplan Configuration?

Configuring a Workplan is defining a Workplan with set of Tasks for systematic execution of a CR through an automated process. The purpose of configuring a Workplan is to map the defined Tasks to create a CR automatically when the SR is logged by the end user.

Configure Workplan

Workplan is configured at the Tenant level. The admin can configure set of Task Templates under Workplan, the defined Task Templates is used for successful execution of CR upon mapping.

To configure a Workplan, perform the following the steps:

  1. Navigate to Change > Configuration > Workplan.

  2. Select Tenant.
    List of Workplans are displayed.

  3. Click ADD NEW from the ACTIONS panel.
    Workplan is created for the selected Tenant by providing a unique Workplan Name.

    Note:

    A newly configured Workplan will be always Active by default, this is controlled from the Active checkbox.

  4. Click ADD TASK.
    Task Template pop-up window is displayed.

    FieldDescription
    TenantSpecifies the Tenant name for which the Task Template is configured.
    Task NameSpecifies the Task Name.
    Task Type

    Specifies the Task Type which allows the admin to select from the following options:

    • Implementation: 
    • Post Implementation 
    • Roll Back
    InformationProvides more details and the purpose of the Task Template.
    DescriptionDescribes about the Task Template.
    ActiveSpecifies if the Task Template is Active.
    DETAILS

    1. Classification

    Specifies Urgency and Impact of the Task.

    2. Assignments

    Specifies the Workgroup and the Analyst name to which the Task belongs.

    3. Task Activation Notification

    Mentions the recipient Email IDs to whom the Notification will be sent upon Task Activation.

    4. Notification Email Details

    Describes the Subject and the Body of the Email which is sent as a Notification.
  5. Click SUBMIT.

  6. Configure Workplan by setting Task rules.

    FieldDescription
    IDSpecifies the Task ID number. 
    Task Name Specifies the Task Name.
    Description Describes about the Task Template.
    Task TypeSpecifies the Type of Task which provides the information about the execution of Task Template.
    WorkgroupSpecifies the name of Workgroup to which the Task belongs.
    ActiveIndicates if the Task is Active.
    Create Incident on Task

    Provides a dropdown list to select an option for creating an Incident.

    Note:

    Using this option an Incident can be auto created for a Task, upon selecting an option to create an Incident on Task from the dropdown list subsequent columns are enabled for configuration.

    Task Status to trigger IncidentProvides a dropdown list of Task Status for which the Incident must be created.
    Rule
    Provides a dropdown list of Rule Templates for selection.
    IconActionDescription

    Edit Indicates the selected Rule can be edited.

    Add

    Indicates that a new Rule can be created.

    To configure Rule Template from Incident Module, perform the following steps:

    1. Navigate to Incident > Others > Rules.

    2. Enter the required details and click SUBMIT.

    Refresh

    Indicates that the Rule list on the dropdown can be Refreshed.


    Note:

    Upon selecting No as an option for Create Incident on Task, subsequent dropdown lists are disabled.

  7. Click SUBMIT.

  8. Click SHOW LIST from the ACTIONS panel.
    List of configured Workplans are displayed.

The Workplan that has been configured can be mapped to a CR on the Workplan Mapping Page, refer to Workplan Mapping.
