Configure_SR_Workflow

 

A workflow is a pictorial representation of the steps involved in a process. It gives a better understanding of the process and thus, helps the administrator to identify the steps easily and configure them as per the requirement. Using the Graphical Workflow Design, you can create a workflow to configure the SR Approval process for a Service Catalog. SR Workflow can be configured for both Global and Local Tenant.

Configure SR Workflow with Global Tenancy

All the Workflows are part of the Catalog, hence creating a Workflow for a Catalog with Global Tenancy allows you to perform certain activities such as configuring Approval, defining Conditions, and sending Notifications.

To create SR Workflow with Global Tenancy, perform the following steps:

  1. Navigate to Admin > Infrastructure > Workflow.
    This will help you to navigate to the Workflow page on which Workflow can be created.

  2. Enter the required details and click SUBMIT.
    This option allows you create a Workflow for a SR with Global Tenant and GLOBAL TENANT is represented with a globe icon.

  3. Select Catalogs and choose the Catalog from the list.
    All the listed Catalogs are from the Global Domain.

    Note:

    The Service Catalog should be in Maintenance status to design/edit the Approval Workflow.

  4. Select Activity.
    Drag and drop the required components on the designer space to configure.

  5. . Drag and Drop Approval Component. Click SAVE AND CLOSE.
    Using this option, Approval component can be configured. All the configured users on the Approval dropdown list should be part of the Global Domain.

    Note:

    Upon selecting the Custom Table Approver, table values should be selected from the table dependent dropdown lists.

    FieldDescription
    Field Name*Describes the Field name from the Table.
    Approver Column*Describes the Approver Column from the Table.
    Default Approver*Describes the Default Approver, dependent on the Table.
  6. Drag & drop the Notification component, enter the required details and click SAVE.
    This will allow you to create Notifications and on the Additional Recipient search list only globally configured users are displayed.

  7. Drag & drop the Conditions component, enter the required details. Click SAVE.
    This allows you to map conditions for the Workflow. Condition dropdown list displays only the Catalog Master for the Global Domain.

  8. Connect the components in the Workflow Designer Space and click SUBMIT.

Configure Global SR Workflow on Local Tenant

All the Workflows created on Global Tenant are inherited to the Local Tenant. 

To modify globally configured Workflow on Local Tenant, perform the following steps:

  1. Navigate to Admin > Infrastructure > Workflow.

  2. Select Module and Tenant.
    This allows you configure global configuration on local tenant.

  3. Click Approval icon on top notification panel.
    This will allow you to view to approvals for Global and Local requests.

    Note:

    This view is only if the Approver is a configured as a Global Approver.

  4. Select Catalogs.
    Catalog can be modified after de-linking. Both, Global and Local Catalogs are displayed on the Local Tenant.

    Note:

    To De-Link Catalog, refer to Catalog Module.

  5. Click the De-linked Catalog.
    This will allow you edit the De-linked Catalog with the Global Configuration on the Local Tenant.
